The Art of Gathering | Policies, Terms, and Conditions
Cancellation Policy
We do not offer refunds for any cancelled picnic packages, all of our services and packages are considered final sale. We do, however, allow you to redeem the cost of the picnic booked at any time as a credit that may go towards another picnic booking at a different time. We also allow the transferring of the picnic reservation to a different client of your choice. In the case of any last-minute changes or emergencies, we do also provide the option to reschedule your picnic to a date that is suitable for both parties.
Any picnics that are rescheduled or cancelled within a 3-day period of the original picnic date will be in charge of paying for the charcuterie boxes which were included in your picnic package, seeing as that order has already been placed. You will have the option to pick up the charcuterie boxes in order to still enjoy them.
Weather Policy
In the chance of inclement weather, we are happy to update the location to an alternate site of your choice. At the time of booking, you are required to select a back-up location of your choice that can be used in the chance of inclement weather. Although we can offer suggestions and recommendations for private or indoor locations, The Art of Gathering is not responsible for selecting a back-up location. If no alternate location is available, The Art of Gathering will attempt to have your picnic on a rescheduled rain date of your choice (depending on our availability). If there is no availability or change in location cannot be made, you will not be reimbursed. Please keep in mind weather is something The Art of Gathering has no control over, which is why a back-up location is required during booking.
Damage Policy
All picnic equipment is the property of The Art of Gathering. All items and décor are to be returned in the same condition they were received. The customer will be responsible for any loss or damage to the equipment and will be charged, accordingly. If stains to linens and damage to equipment result in dry cleaning, or professional cleaning charges, the customer will then be held responsible. The customer will be notified of those charges via email and will have 14 business days to arrange payment before further actions are taken.
Late Policy
All customers are allowed to select their start times; and therefore, we respectfully ask all parties to be on time to ensure maximum picnic enjoyment. All picnic times go according to the booked start time, and not of the arrival of the customer.
Alcohol Policy
The Art of Gathering does not recommend or provide the serving of alcohol at events for which it is contracted for catering and related services and does not allow its clients to provide for the serving of alcohol at the event unless the legally binding Release of Liability, and Assumption of Risk Agreement is signed at the bottom of your booking page.
Photography and Media Release Policy
By booking a picnic with The Art of Gathering, you grant us the right to take photographs or videos during your event, which may include images of you and your guests. These images may be used for promotional purposes, including but not limited to social media platforms, website galleries, marketing materials, and advertisements. By participating in the picnic, you acknowledge and agree that The Art of Gathering may use these images without compensation or further approval from you. If you prefer not to have your images used, please notify us in writing prior to your event.
Health and Safety Policy
The Art of Gathering takes great care in ensuring a safe and enjoyable experience for all guests. We take precautionary measures, including spraying picnic items with insect repellent, to minimize the risk of insect bites or stings. However, outdoor environments are inherently unpredictable, and we cannot guarantee a completely insect-free experience. By booking a picnic with us, you acknowledge and accept that The Art of Gathering is not responsible for any injuries, allergic reactions, or health issues that may arise due to insect bites, stings, or other environmental factors during your picnic. We recommend guests take personal precautions as needed. If your picnic takes place at a private residence, it is therefore your responsibility to make sure that the area has been sprayed with insect repellent or has been treated for any other pests or insects. We also provide insect repellent at all of our picnics as a way to ensure that you have the most enjoyable bug-free experience.
Payment Policy
Full payment is required at the time of booking to secure your reservation. We accept payment via Credit Card, Pay Pal, Klarna, and After Pay. Any outstanding balance must be paid in full before the start of the picnic. Late payments may result in cancellation of your reservation, and all payments are non-refundable. We highly suggest reaching out to us prior to booking if you are interested in paying via check, cash, or receiving a private invoice for corporate accounting and billing needs.

Assumption of Risk:
We’re thrilled to create a beautiful picnic experience for you! While we take every precaution, outdoor activities come with inherent risks, such as weather conditions and insects. By participating, you accept these risks and agree to take responsibility for any potential issues that may arise during your picnic.
Alcohol Consumption:
We want your picnic to be a delightful experience, but please note that public consumption of alcohol is illegal in North Carolina. If you choose to bring and consume alcohol, you do so at your own risk and are responsible for any legal consequences. The Art of Gathering is not liable for any alcohol-related incidents.
Release of Liability:
While we do our best to ensure a safe and enjoyable experience, you agree to release The Art of Gathering, its owners, employees, and agents from any liability for injuries, damages, or losses that may occur during your picnic, whether caused by negligence or otherwise.
Indemnification:
You agree to indemnify and hold harmless The Art of Gathering from any claims, damages, or expenses (including legal fees) that may arise from your participation in the picnic, including those related to alcohol consumption.
Respect for Our Setup:
We provide all the lovely items and décor for your picnic, and we kindly ask that you treat them with care. If any significant damage or loss occurs, you may be responsible for repair or replacement costs.
